Proposal Coordinator (Federal)


As a Federal Proposal Coordinator, the individual will be responsible for supporting the full- cycle proposal process. In this role, the Coordinator will handle a variety of departmental and administrative duties that support the organization’s ability to submit on-time proposals, track status and win contract awards.  The individual will be required to gather and provide past performance artifacts from the company past performance library and work with proposal writers to identify relevant company and project documents. Additionally, the Coordinator will also assist with scheduling proposal stakeholders for a variety of meetings associated with developing, writing and assembling documents; and at times, the individual will submit finalized and approved proposals.


  • Manages the administration and take an active hands-on role in the development of proposals, working with subject matter experts, capture managers, third party organizations and stakeholders
  • Maintains proposal milestones, schedules, issues, color review dates, kickoff meetings and due dates
  • Maintains database of proposals submitted and active proposals
  • Tracks and reports on current proposal schedules as well as outstanding response award decisions
  • Develops and manages proposal debrief process to include scheduling meetings, developing after action report, and maintaining lessons learned documentation
  • Assists in the development of any proposal documentation and processes required for company certifications
  • Provides professional and courteous communication and timely responsiveness with internal and external customers
  • Anticipates and resolves proposal challenges and obstacles to successful proposal completion and production 
  • Manages and coordinates multiple proposal tasks simultaneously 
  • Creates template documents as well as entry and editing of boilerplate language and the integration of this boilerplate into draft documents (includes review, formatting, and proofing) 
  • Performs research for potential projects and reports new prospects to bid team
  • Assists in the development of the proposal materials into final client ready package
  • Manages past performance citations, resumes and proposal reuse materials’ libraries
  • Interfaces with prime contractors and subcontractors to gather proposal document data
  • Manages the completion of data calls and past performance information
  • Supports management and the proposal process by generating, managing, and filing correspondence and other proposal related documents 
  • Performs other tasks as required by OSC and the Government contracting office

Required Qualifications/Education and Experience

  • High School Diploma or equivalent 
  • 5 or more years’ experience with administering proposals and working with Proposal Managers, writers, and teams in a professional work environment 
  • Prior experience with Federal proposal process (DoD preferred) 
  • Approachable demeanor and strong motivation to go above and beyond 
  • Capability to multitask and handle multiple projects / tasks with competing deadlines
  • Strong written and verbal communication and the ability to follow oral and written instructions
  • Ability to be resourceful and problem solve quickly and at times work under pressure
  • The ability to work efficiently and effectively, while maintaining attention to detail
  • Self-motivated, results oriented, resourceful individual with effective time management skills
  • Ability to take direction well from multiple people and work alongside a remote team
  • Position continually requires demonstrated poise and tact
  • Excellent interpersonal and computer skills; Must have intermediate knowledge of a variety of computer software applications such as: (Word, Excel, Outlook & PowerPoint).
  • Ability to work in various systems and documentation storage sites

Preferred Qualifications/Education and Experience

  • Prior Government or working for a Federal Contractor is highly preferred

  • M-F 8:30 to 5:30; however, nights and weekends may be required depending on business needs and proposal deadlines
